The Application Standard for U.S. Clinical Observerships.
One verified application. Accepted by participating programs nationwide.
A pathway built on email attachments and personal referrals.
Applicants reassemble
International medical graduates submit the same documents, in slightly different formats, to every program — diplomas, USMLE transcripts, immunizations, background checks, liability attestations. Again and again.
Programs duplicate
Every observership program performs its own verification, independently and redundantly. Coordinator time is consumed by document-chasing rather than education.
No shared standard
The observership pathway has no central credentialing body. Strong applicants are lost to administrative friction; programs accept compliance risk they did not choose.
One application. Verified once. Accepted everywhere.
Apply once with structured intake.
Complete a single guided application that captures everything reputable U.S. observership programs require — identity, credentials, examination history, immunizations, background, and liability documentation.
USClinX verifies.
We authenticate credentials, run background screening through a U.S.-recognized vendor, confirm immunization and TB documentation, and review liability coverage against a published threshold.
Submit to any participating program.
Your Verified Application — standardized, time-stamped, and tamper-evident — can be sent to any participating program with a single action. No re-uploads. No re-verification. No bespoke packets.
The complete intake an observership program would otherwise build itself.
Identity & visa documentation
Passport, visa class, travel eligibility.
Medical education credentials
Diploma, transcript, ECFMG certification status where applicable.

USClinX is built for international medical graduates seeking U.S. clinical observership experience to strengthen their candidacy for residency.
Your tier is determined at intake based on your declared citizenship and residence history, and is disclosed to you before payment is collected. Both tiers include identical verification scope for all elements except criminal background screening. Programs cannot identify which tier you paid — the Verified Application format is identical across both tiers.

What you receive.
The USClinX Verified Application is a standardized, time-stamped, tamper-evident file that any participating program can accept without re-verification. It includes a Verification Summary stating clearly what we have confirmed, what we have not, and the date of each verification.
Programs pay nothing to receive your Verified Application. The fee you pay covers verification once and submission as many times as you need it during the validity period.
A note on the Extended tier.
The $300 difference between tiers reflects the real cost of international criminal background screening — which is substantially more complex and expensive than U.S.-only screening. The tier determination is made transparently at intake; there are no surprise fees. A pass-through clause applies only in the rare case of three or more non-U.S. jurisdictions, and any such charge is quoted in advance.
A note on what we do not do.
USClinX does not place applicants. We do not match observers to physicians, do not collect placement fees, and do not advocate for visas. We document and verify; programs decide.
Common questions, answered plainly.
Your tier is determined at intake based on your declared citizenship and residence history. If you have resided exclusively in the United States for the prior seven years, the Standard tier ($550) applies. If you have resided outside the United States at any point in the prior seven years — which includes the country where you attended medical school — the Extended tier ($850) applies. The applicable tier and fee are disclosed to you before payment is collected, so there are no surprises. The vast majority of international medical graduates applying for U.S. observerships will fall into the Extended tier.
Most Verified Applications are issued within ten to fifteen business days of completed submission. Edge cases — unusual diploma formats, ambiguous immunization records, or documents requiring translation — may take longer and are flagged for human review with status updates.
No. Documents in languages other than English must be accompanied by a certified translation. The platform will identify which documents require translation during the application process. Translation is the applicant's responsibility; verification of translated documents is included in the application fee.
You can update specific fields — new examination scores, additional letters of recommendation, refreshed background checks — without redoing the entire application. Updates trigger a re-issuance of the Verified Application with a new timestamp at no additional cost during the twelve-month validity period.
The application fee is paid at issuance of the Verified Application. Verification work that does not result in a Verified Application carries a partial fee schedule disclosed at the start of the application. The full refund and partial-fee policy is published in the terms of service and provided before any payment is taken.
No. USClinX is not a placement service and does not match applicants to physicians or programs. We provide the verified application that programs accept; admissions and placement decisions are made independently by each program.
Participating programs are listed within the applicant portal once your Verified Application is issued. The list of participating programs grows continuously; updates are reflected in real time within your account during the validity period.
The full Verification Methodology is published as a PDF and reviewable by anyone. It describes the standards for each verified element — credentials, examinations, immunizations, background screening, liability coverage, and application materials — along with the methods used and the lifecycle of a Verified Application. Download the Verification Methodology v1.1 (PDF).
A pre-verified applicant pipeline. At no cost to your program.
Receive standardized, audit-ready applications from qualified international medical graduates. Spend coordinator time on education, not document-chasing.
Save coordinator time.
Receive complete, format-consistent applications instead of a thicket of email attachments. Evaluate on educational merit rather than administrative completeness.
Reduce compliance risk.
Every Verified Application carries a complete audit trail — what was confirmed, by what method, on what date. Documentation defensibility, without the documentation labor.
Receive a consistent format.
Every applicant arrives with the same standardized intake. No more reconciling four versions of an immunization record or chasing a missing background check.
Meeting programs where they are.
Accept the standard.
Programs adopt the USClinX Verified Application as an acceptable intake format. No platform required, no software to install.
Receive applications your way.
Choose program portal access, secure file transfer, or a standardized PDF and structured data export delivered by email. Programs are not required to use any USClinX-hosted system.
Decide on educational merit.
USClinX never represents that an applicant is qualified for a particular program. Final admissions authority rests with you. We document and verify; you decide.
The economic model is by design.
Programs are not customers in the revenue sense — applicants pay a single fee that funds verification. Programs receive a higher-quality intake stream at no cost. The more programs that accept the standard, the more valuable the application becomes to every applicant.
Read what we verify, before you decide.
The USClinX Verification Methodology is published in full. It describes the standards against which each verified element is reviewed, the methods used, the lifecycle of a Verified Application, and the limitations programs should understand before adopting the standard.
The methodology is reviewable on request, revised on a documented annual basis, and includes a transparent capability roadmap — Appendix A — describing what is delivered today and what is planned for subsequent versions.

Adopt the standard.
For program directors, GME coordinators, and hospital credentialing leads. After reviewing the methodology, tell us about your program and we will follow up with adoption documentation and a sample Verified Application file.
- No fees, no contracts, no software requirement
- Sample Verified Application provided on request

Building the trusted standard for U.S. clinical observerships.
USClinX exists to make U.S. clinical observerships more accessible, more verifiable, and more equitable by providing the trusted application standard that connects qualified international medical graduates with the programs that host them.
An application standard the field has never had.
Before ECFMG, residency programs each verified international credentials independently. The system was inconsistent, exclusionary, and impossible to scale. ECFMG certification became the trusted standard, and the entire residency match became more efficient and more equitable as a result.
The observership pathway has never had its ECFMG. Every program in the country reinvents its own intake; every applicant rebuilds the same packet for every program. The cost is paid in time, in money, and in qualified candidates lost to administrative friction.
USClinX fills that gap — not by regulation or accreditation, but by being the most useful, most trusted, and most widely adopted application standard in the field. Adoption is voluntary because the value is structural: programs save time, applicants save money, and the field gains a shared baseline of quality.
Neutral. Auditable. Rigorous.
USClinX is not a placement service, not a marketplace, and not a visa sponsor. We do not match applicants to programs, do not host observerships, and do not advocate for individual candidates. This narrow scope is deliberate — it is what makes the standard trustworthy to programs across the entire ecosystem.
Our leadership comprises physician educators and graduate medical education administrators with direct, hands-on experience operating observership programs at academic medical centers. The product is a direct expression of operational experience, not an outsider's hypothesis about a market.
Neutrality
USClinX verifies; programs decide. We never represent that an applicant is qualified for a particular program — only that the documentation is complete and verified.
Auditability
Every Verified Application carries a complete audit trail. Programs are entitled to inspect any audit record, request a sample audit at any time, and review the published methodology against which verification is performed.
Rigor
Our Verification Methodology is published, reviewable, and revised on a documented annual basis. Standards adapt upward as the field evolves; the credibility of the standard depends on it.
Supporting the region that built it.
USClinX is structured with a planned commitment to contribute a portion of retained earnings to support physician recruitment and retention in underserved West Texas communities through a future West Texas Physician Retention Fund initiative, currently in development. Further details, including governance and contribution structure, will be published as the initiative is finalized.
