What you receive.
The USClinX Verified Application is a standardized, time-stamped, tamper-evident file that any participating program can accept without re-verification. It includes a Verification Summary stating clearly what we have confirmed, what we have not, and the date of each verification.
Programs pay nothing to receive your Verified Application. The fee you pay covers verification once and submission as many times as you need it during the validity period.
A note on the Extended tier.
The $300 difference between tiers reflects the real cost of international criminal background screening — which is substantially more complex and expensive than U.S.-only screening. The tier determination is made transparently at intake; there are no surprise fees. A pass-through clause applies only in the rare case of three or more non-U.S. jurisdictions, and any such charge is quoted in advance.
A note on what we do not do.
USClinX does not place applicants. We do not match observers to physicians, do not collect placement fees, and do not advocate for visas. We document and verify; programs decide.
Common questions, answered plainly.
Your tier is determined at intake based on your declared citizenship and residence history. If you have resided exclusively in the United States for the prior seven years, the Standard tier ($550) applies. If you have resided outside the United States at any point in the prior seven years — which includes the country where you attended medical school — the Extended tier ($850) applies. The applicable tier and fee are disclosed to you before payment is collected, so there are no surprises. The vast majority of international medical graduates applying for U.S. observerships will fall into the Extended tier.
Most Verified Applications are issued within ten to fifteen business days of completed submission. Edge cases — unusual diploma formats, ambiguous immunization records, or documents requiring translation — may take longer and are flagged for human review with status updates.
No. Documents in languages other than English must be accompanied by a certified translation. The platform will identify which documents require translation during the application process. Translation is the applicant's responsibility; verification of translated documents is included in the application fee.
You can update specific fields — new examination scores, additional letters of recommendation, refreshed background checks — without redoing the entire application. Updates trigger a re-issuance of the Verified Application with a new timestamp at no additional cost during the twelve-month validity period.
The application fee is paid at issuance of the Verified Application. Verification work that does not result in a Verified Application carries a partial fee schedule disclosed at the start of the application. The full refund and partial-fee policy is published in the terms of service and provided before any payment is taken.
No. USClinX is not a placement service and does not match applicants to physicians or programs. We provide the verified application that programs accept; admissions and placement decisions are made independently by each program.
Participating programs are listed within the applicant portal once your Verified Application is issued. The list of participating programs grows continuously; updates are reflected in real time within your account during the validity period.

Before ECFMG, residency programs each verified international credentials independently. The system was inconsistent, exclusionary, and impossible to scale. ECFMG certification became the trusted standard, and the entire residency match became more efficient and more equitable as a result.
The observership pathway has never had its ECFMG. Every program in the country reinvents its own intake; every applicant rebuilds the same packet for every program. The cost is paid in time, in money, and in qualified candidates lost to administrative friction.

3. Information We Collect
We collect personal information in connection with the USClinX Verified Application process. The categories of information we collect include:

Full legal name, email address, phone number, date of birth, country of citizenship, and current residence.
3.2 Government-Issued Documentation
Passport (photo page) and U.S. visa class (self-reported).
3.3 Medical Education and Professional Credentials
Medical school name, country, and graduation year; medical school diploma and official transcript; ECFMG certification status and certificate (where applicable); USMLE Step 1, Step 2 CK, and Step 3 score reports; curriculum vitae; personal statement; and letters of recommendation.
3.4 Health Documentation
Immunization records and tuberculosis screening results.
3.5 Background Screening Information
Criminal background check results, initiated through a third-party U.S.-recognized screening vendor, and Police Clearance Certificates for applicants from certain jurisdictions.
3.6 Financial Information
Payment card information is processed directly by Stripe; USClinX does not store raw card data. We retain payment confirmation and transaction records.
3.7 Professional Liability Documentation
Professional liability insurance declarations page or certificate of insurance.
3.8 Compliance Training Records
HIPAA, OSHA, and bloodborne pathogen training certificates.
3.9 Automatically Collected Information

4. How We Use Your Information
We use the personal information we collect for the following purposes:

5. How We Share Your Information
5.1 Participating Observership Programs
When you direct USClinX to submit your Verified Application to a participating program, we transmit your complete Verified Application package to that program. We do not share your application with any program to which you have not affirmatively directed submission.
5.2 Third-Party Service Providers
We share personal information with the following service providers, each of which processes information on our behalf under written data-handling obligations:

We may disclose personal information if required to do so by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect the rights, property, or safety of USClinX, our applicants, participating programs, or the public.
5.4 Business Transfers
In the event of a merger, acquisition, reorganization, or sale of all or substantially all of USClinX's assets, personal information held by USClinX may be transferred to the successor entity. We will provide notice before personal information is subject to a different privacy policy.
6. Legal Basis for Processing
USClinX processes personal information on the following legal bases: performance of a contract (verification and issuance of the Verified Application as agreed in the Terms of Service); legal obligation (OFAC compliance and applicable law); legitimate interests (fraud prevention, security, and integrity of the verification standard); and consent (background screening and other consent-based processing, which you may withdraw at any time by contacting privacy@usclinx.com).
7. Data Security
USClinX implements the following measures to protect your personal information: encryption in transit (TLS/HTTPS) for all data transmitted between your browser and usclinx.com; encryption at rest for documents and records stored with our cloud service providers; access controls limiting data access to USClinX personnel performing verification or audit functions and contracted service providers under confidentiality obligations; and cyber-liability insurance coverage appropriate to the volume and sensitivity of data handled.
No method of transmission over the internet or electronic storage is completely secure. While we use commercially reasonable measures to protect your information, we cannot guarantee absolute security.
8. Data Retention
We retain applicant records for a period of seven years following the most recent issuance or renewal of the Verified Application, after which records are securely destroyed. You may request earlier deletion by contacting privacy@usclinx.com, subject to legal, audit, and contractual retention obligations. Payment records are retained as required by applicable law and our obligations to Stripe.
9. Your Rights
9.1 Rights Available to All Applicants
You may request access to, correction of, or deletion of your personal information, and may withdraw consent where processing is based on consent, by contacting privacy@usclinx.com.
9.2 Texas Residents
If you are a Texas resident, you may have additional rights under the Texas Data Privacy and Security Act (TDPSA), including the right to know whether we process your personal data, access your personal data, correct inaccuracies, request deletion, obtain a portable copy, and opt out of the sale of personal data. USClinX does not sell personal data. To exercise these rights, contact privacy@usclinx.com. We will respond within 45 days of receiving a verifiable request.
10. Data Breach Notification
In the event of a data breach that compromises the security of your personal information, USClinX will notify affected individuals and, where required, applicable regulatory authorities in accordance with applicable law, including Texas Business and Commerce Code § 521.053.
11. Children's Privacy
The Service is intended solely for use by medical graduates and final-year medical students. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have collected personal information from a minor, we will take steps to delete that information promptly.

Our website may contain links to third-party websites or services. This Privacy Policy applies only to information collected by USClinX. We are not responsible for the privacy practices of third-party websites or services, and we encourage you to review their privacy policies before submitting personal information.
13. International Applicants
USClinX is headquartered in the United States and processes personal information in the United States. If you are located outside the United States, your personal information will be transferred to and processed in the United States, which may have different data protection laws than your country of residence. By submitting an application, you consent to the transfer of your personal information to the United States for processing in accordance with this Privacy Policy.
14. Fair Credit Reporting Act Notice
USClinX uses consumer reports (criminal background screening results) obtained from a consumer reporting agency in connection with the issuance of the Verified Application. Pursuant to the Fair Credit Reporting Act (FCRA), 15 U.S.C. § 1681 et seq., you have the right to know if information in your consumer report has affected a decision made about you, and the right to dispute incomplete or inaccurate information directly with the consumer reporting agency.
If USClinX takes an adverse action based in whole or in part on information in your consumer report, we will provide you with a pre-adverse action notice, a copy of the report, and a written description of your rights under the FCRA, followed by a final adverse action notice if applicable.

We may update this Privacy Policy from time to time. We will post the updated policy on usclinx.com with a revised "Last Updated" date. If we make material changes, we will provide notice to applicants with active Verified Applications by email.

1. Acceptance of Terms
These Terms of Service ("Terms") govern your access to and use of the services provided by USClinX, LLC ("USClinX," "we," "our," or "us"), a Texas limited liability company headquartered in Lubbock, Texas, including the USClinX website at usclinx.com and the USClinX Verified Application service (collectively, the "Service").
By creating an account, submitting an application, or using the Service in any way, you ("Applicant" or "you") agree to be bound by these Terms. If you do not agree, do not use the Service.
These Terms apply to individual applicants. Participating observership programs are subject to a separate program adoption agreement.
2. Description of the Service
USClinX provides a credentialing and application standard for U.S. clinical observerships. The Service enables international medical graduates and final-year international medical students to complete a single, structured application that USClinX verifies and packages as a USClinX Verified Application, which may then be submitted to participating U.S. observership programs.
USClinX is not a placement service, a marketplace, an immigration advisor, or a visa sponsor. USClinX does not match applicants to programs, guarantee admission to any program, host observerships, or facilitate clinical assignments. Admissions decisions are made exclusively by participating programs.
3. Eligibility
To use the Service, you must be at least 18 years of age; be a graduate of, or a final-year student at, an international medical school; have the legal authority to enter into a binding agreement; and not be prohibited from receiving services under applicable law, including OFAC sanctions regulations. USClinX reserves the right to decline applications from individuals who do not meet these eligibility requirements.
4. Account Registration
To use the Service, you must create an account and provide accurate, complete, and current information. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. Notify USClinX immediately at applicants@usclinx.com if you become aware of any unauthorized use of your account.
5. The Application Process
5.1 Structured Intake. The application requires you to provide accurate personal, educational, and professional information and to upload supporting documents as described in the USClinX Verification Methodology. All information submitted must be truthful, accurate, and complete.
5.2 Tier Determination. At intake, USClinX determines the applicable pricing tier based on your declared citizenship and residence history. The Standard Verified Application ($550) applies if you have resided exclusively in the United States for the prior seven years. The Extended Verified Application ($850) applies if you have resided outside the United States at any point in the prior seven years. The applicable tier and fee are disclosed before payment is collected.
5.3 Consent to Verification. By submitting your application, you consent to USClinX authenticating your credentials, initiating a criminal background screen, reviewing your health and compliance documentation, and taking all other verification steps described in the Verification Methodology.
5.4 Accuracy Attestation. By submitting your application, you attest that all information and documents you have provided are true, accurate, and complete. Submission of false, misleading, or fraudulent information is grounds for immediate denial of issuance, revocation of any issued Verified Application, forfeiture of the application fee, and referral to appropriate authorities.
6. Fees and Payment
6.1 Application Fee. The application fee is due at the time of submission, prior to verification commencing. Fees are processed through Stripe. You agree to Stripe's terms of service in connection with payment processing.
6.2 Pass-Through Surcharge. In cases where your background screening requires checks in three or more non-U.S. jurisdictions, USClinX may apply a pass-through surcharge to cover extraordinary vendor fees. Any such surcharge will be quoted to you in advance and will require your written consent before screening begins.
6.3 Refund Policy. Full refund: if USClinX is unable to complete verification for reasons attributable solely to USClinX, you will receive a full refund. Partial refund: if USClinX has commenced verification work — including initiating a background screening order — and the application cannot proceed to issuance, a partial refund may apply reflecting costs already incurred. The partial fee schedule is published on the USClinX website and will be disclosed before any partial-fee event occurs. No refund: no refund is provided where the Verified Application has been issued and submitted to participating programs, or where issuance is denied due to materially inaccurate or fraudulent representations by the applicant. All refund requests must be submitted to applicants@usclinx.com.
7. The Verified Application
7.1 Issuance. Upon satisfactory completion of verification, USClinX will issue a Verified Application and notify you by email.
7.2 Validity and Submissions. The Verified Application is valid for twelve (12) calendar months from issuance. During the validity period, you may submit to any number of participating programs at your direction.
7.3 Updates and Re-Issuance. You may update specified fields — including new USMLE results, additional letters, refreshed health screening, and updated liability documentation — at no additional charge during the validity period.
7.4 Revocation. USClinX reserves the right to revoke a Verified Application if it becomes aware that any verified element was materially inaccurate at the time of issuance, or that any submitted document was forged or altered. You and any program that received the application will be notified in writing.
8. Applicant Obligations
You agree to provide truthful, accurate, and complete information; upload only authentic documents; notify USClinX promptly if any information becomes inaccurate during the validity period; use the Service only for the purpose of seeking U.S. clinical observership experience; not attempt to circumvent or abuse the verification process; and comply with all applicable laws.
9. Intellectual Property
The USClinX name, the Verified Application format, the verification methodology, and all content on usclinx.com are the property of USClinX, LLC. Your uploaded documents remain your property; by uploading them, you grant USClinX a limited license to use those documents solely for performing the verification services described in these Terms.
10. Privacy
Your use of the Service is also governed by our Privacy Policy, incorporated into these Terms by reference.
11. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, USCLINX DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED. USCLINX DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED OR ERROR-FREE, THAT ANY VERIFIED APPLICATION WILL BE ACCEPTED BY ANY PARTICULAR PROGRAM, OR THAT ANY APPLICANT WILL OBTAIN AN OBSERVERSHIP POSITION AS A RESULT OF USING THE SERVICE.
12. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, USCLINX'S TOTAL LIABILITY TO YOU SHALL NOT EXCEED THE AMOUNT YOU PAID TO USCLINX IN THE TWELVE MONTHS PRECEDING THE CLAIM. IN NO EVENT SHALL USCLINX BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES.
13. Indemnification
You agree to indemnify, defend, and hold harmless USClinX, LLC, its members, officers, employees, contractors, and agents from and against any claims, liabilities, damages, losses, and expenses arising from your use of the Service, violation of these Terms, submission of false or fraudulent information, or violation of any applicable law.
14. Governing Law and Dispute Resolution
These Terms are governed by the laws of the State of Texas. Any dispute shall be resolved exclusively in the state or federal courts located in Lubbock County, Texas, and you consent to the personal jurisdiction of those courts.
15. Termination
USClinX reserves the right to suspend or terminate your account at any time for violation of these Terms, submission of fraudulent information, or conduct harmful to the integrity of the Service. Sections 6.3, 9, 11, 12, 13, and 14 survive termination.
16. Modifications
We may update these Terms from time to time. Material changes will be communicated by email to applicants with active Verified Applications. Continued use of the Service after the effective date of changes constitutes acceptance.

USClinX assesses accessibility through ongoing self-evaluation during development, and a planned formal WCAG 2.1 AA audit prior to the launch of the applicant portal. Audit results will be used to update this statement and address identified gaps.
